Job Description: Administrative Assistant

Immediate Supervisor: Executive Director

Starting Salary:           $12-$14 – Full Time, 40 hrs/wk, Non-Exempt Status

 

Overall Responsibility:  Under the supervision of the Executive Director, the Administrative Assistant provides assistance and support to the Executive Director as needed including performing a wide variety of secretarial, receptionist, and related duties as required at the agency’s multiple sites.

 

Areas of Responsibility:

  1. Provides clerical support to the Executive Director.
  2. Assists Executive Director with the annual Grantee Plan in gathering and assembling information to be submitted for the Grantee Plan to the funding sources.
  3. Assists Executive Director with communications and development of the agency Annual Report.
  4. Guide and undertake the organizing, review and implementation of all administrative support activities that facilitate and expedite the smooth running of the office.
  5. Serves as recording secretary for CCA board of directors and agency staff meetings
  6. Fulfill the administrative and office support activities for all staff and board including managing an agency calendar and providing reminders.
  7. Support Executive Staff and Board Representatives by assisting in the preparation and coordination of meetings, conferences, training sessions and other meetings as directed by Executive Director.
  8. Maintain and update master office and agency files in electronic and paper form directed by operating procedures, contracts and by-laws.
  9. Maintains computerized databases, enters data, and generates reports.
  10. Maintain agency website and social media areas.
  11. Works with the agency’s computer company to review and update the agency’s webpage on a consistent basis, but not less than on a monthly basis.
  12. Assists in reception area as required.
  13. Maintain filing system for grants, contracts, and grants reports required by the Executive Director.
  14. Review and make recommendations to Executive Director regarding operational procedures to ensure efficient management of office environment.
  15. Provide administrative and error free clerical support for all reports, funding applications, and correspondences.
  16. Attend evening and weekend meetings as assigned.
  17. Travel overnight and out of area as assigned.
  18. Performs Notary tasks for the Agency.
  19. Other duties as assigned.

Screening Criteria:

  1. Five years of experience in Business Administration and an Associate Degree in Business Administration.
  2. Valid PA driver’s license, reliable transportation and willing to travel in all the counties we serve and other counties as required.
  3. Must be able to work independently without close daily supervision.
  4. Excellent verbal and written communications skills and have the ability to speak publicly.
  5. Must display advanced skills with Microsoft Office including work processing, excel spreadsheets, mail merge, etc.
  6. Proficient with desktop publishing, adobe and Photoshop types of software.
  7. Demonstrated organizational skills.
  8. Computer literacy required; competency preferred.
  9. Must have or be willing to obtain Motor Vehicle Report, Act 33 & 34 clearances, and FBI clearance with fingerprinting.
  10. Must have vehicle insurance to comply with agency standards of coverage.
  11. Must be able to obtain Notary Certification within 60 days of employment

JOB Description: Communications Coordinator

Immediate Supervisor:  Executive Director

Starting Hourly Rate:  open PENDING EXPERIENCE             FULL TIME 35/HRS/WEEK

 

OVERALL RESPONSIBILITY: A Communications Coordinator has a minimum of an Associate Degree, with the preference given for a Bachelor’s Degree in communication, public relations, or related field.  The Communications Coordinator is responsible for conveying an organization’s internal and external messages. The coordinator must be able to draft written materials, prepare presentations and communicate with all employees as well as the public. The coordinator must be able to analyze current trends in media communication and apply them as needed in a non-profit setting.  In addition, the coordinator must understand and put in place best practices in marketing non-profits to the public.  The coordinator must also be able to trouble shoot common computer and database issues, and provide assistance to others having problems. 

   Specific Job Duties:

  1. Manage the day-to-day internal and external communications and marketing activities of the Organization
  2. Work with the Executive Director and Director of Resource Development to develop a public relations plan
  3. Develop and maintain a strong brand for the Organization, including impactful and fit-for-purpose publications, web site, and social media
  4. Prepare press statements, articles, and news-letters on senior issues in collaboration with service departments
  5. Conducts annual assessment of consumer satisfaction
  6. Manage the publication and promotion of Organization materials, including design and printing in collaboration with Organization Affiliates
  7. Build on existing and develop new relationships with media, member organizations and others groups as needed
  8. Represent Organization at speaking engagements and promotional events
  9. Ensure that the Organization communication outputs are of a high standard, respond to the needs of the target audience, and are delivered within approved budget and timelines
  10. Adjust to changes within the job descriptions based upon agency need.
  11. Be familiar with all programs and events within the organization and independently answers questions.
  12. Attend and actively participate in required staff meetings and trainings.
  13. Perform additional duties as required.

Skills Required

  • Bachelor Degree in communications, public relations or associated field preferred, Associate Degree with 2 years’ experience will be considered
  • Must be a confident communicator and presenter
  • Must work effectively in a team environment
  • Strong writing, editing, proofreading, layout and design, professional printing/publishing skills are essential, including ability to present concepts verbally
  • Must possess excellent organizational and planning skills
  • A wide degree of creativity
  • Strong knowledge and understanding of current trends in digital media/social media
  • Self-motivated with a positive and professional approach to management
  • Strong desire to serve the senior and adults with disabilities community
  • Act 33/34 and FBI clearances
  • Driver’s license and reliable transportation.
